Publishing a Dissertaton

General guidelines for publishing doctoral dissertations

In this guide you find the instructions on how to publish a dissertation in the University of Lapland. Here you can familiarize yourself with the phases of the publication process. In the section Instructions for Doctoral Researcher you can find more detailed information about finalizing the manuscript, layout process and publishing.

Doctoral dissertations completed at the University of Lapland are, as a rule, published in an open access electronic format in the university's Acta electronica Universitatis Lapponiensis series. The publishing platform is the institutional repository of the University of Lapland called Lauda.

Publishing a dissertation in an electronic format is free of charge to the doctoral researcher. Should the doctoral researcher wish to order print copies of the dissertation for personal use this will be at the researcher’s own expense. The University of Lapland recommends open access publishing and the CC license CC BY, as it makes doctoral dissertations more accessible, increases their impact, and promotes open science.

On special grounds, the faculty may decide to publish a doctoral dissertation in print format in the Acta Universitatis Lapponiensis series. In this case, the faculty will make a separate decision on the printing costs.It is also possible to publish a dissertation by an external publisher. If the original publisher allows, it is possible to self-archive the dissertation in the University’s repository.

On the faculty’s decision, doctoral dissertations completed in the Arctic Centre can be published in one of the publication series of the Arctic Centre – Arctic Centre Reports or Juridica Lapponica – if so agreed with the Arctic Centre.

Publication process in the University of Lapland’s series

Doctoral researchers should schedule at least three months for the publication process. The doctoral researcher must be registered as an attending student at the University of Lapland. To avoid any delays, the doctoral researcher needs to obtain all the necessary permissions to republish the articles of an article-based dissertation, as well as the related licenses, before applying for permission to defend the doctoral dissertation.

1. The faculty grants permission to defend the doctoral dissertation and sets the date of the public defence of the dissertation in the Faculty Council meeting

2. The doctoral researcher fills out the Dissertation Preliminary Information Form immediately after receiving the permission to defend their dissertation

If the permission is granted less than three months before the public defense, the form must be filled out once the schedule for processing the permission in the faculty is known.

3. The Doctoral School contacts the researcher and agrees on the schedule for the page layout and design process

At least two months should be scheduled for the layout process. Holidays must be taken into account in the schedule.

4. The doctoral researcher applies for ISBN-number and Acta serial number

This cannot be done before receiving the permission to defend the dissertation.

5. The doctoral researcher receives a publishing agreement and instructions on how to sign it from the University Library

The doctoral dissertation manuscript cannot be submitted for layout before the publication agreement has been signed.

6. The doctoral researcher prepares the manuscript for the layout process following the instructions given by the University

7. The doctoral researcher submits the manuscript prepared for the layout process to the Doctoral School

The dissertation manuscript must be sent to the layout artist no later than seven weeks before the defence by email to dissertations@ulapland.fi. Holidays must be taken into account in the schedule.

8. The doctoral researcher reviews the proof of their dissertation manuscript and submits it to the Doctoral School

The proof sheet will be sent to the doctoral researcher in about a week of the date of submission of the manuscript. The doctoral researcher should submit their proof corrections to the Doctoral School within about two weeks of receiving the proof. This schedule can be kept if the doctoral researcher provides the materials on time. The Doctoral School gives instructions on how to make the corrections.

9. After the layout is finished, the doctoral researcher places a printing order for The University Printing Centre

The Doctoral School sends the manuscript to the printing centre.

10. The finished dissertation is deposited in the Lauda repository and the copies for the purpose of the public defence are printed

The University Printing Centre prints the necessary copies (9 pieces) of an electronic doctoral dissertation and the copies the doctoral researcher has ordered for personal use. The university is responsible for the distribution of the print copies of the work made for the purpose of the public defence.

If the doctoral dissertation is published in print,the University Printing Centre prints the copies for the purpose of the public defence (9 pieces) and the copies the doctoral researcher has ordered for personal use. The doctoral researcher is responsible for distribution of copies other than those made for the purpose of the public defence.

11. The doctoral researcher drafts a dissertation press release according to the instructions provided by LUC Communications and Marketing

The draft of the dissertation press release should be submitted to LUC Communications and Marketing no later than two weeks prior to the public defence of the dissertation. The press release will include a photo of the doctoral researcher. If necessary, LUC Communications and Marketing can organise a photo shoot. Please consult the instructions.

12. Public display of the doctoral dissertation 10 days prior to the public defence of the dissertation

A link to the electronic dissertation will be published on the website of the University. A copy of a print dissertation, as well as one print copy of an electronic dissertation will be put on display in the University’s main lobby.

Publishing the dissertation by an external publisher

The doctoral researcher must be registered as an attending student at the University of Lapland.

1. The doctoral researcher will find out the possibilities of publishing a dissertation by an external publisher and ensure that the the publisher’s timetable is compatible with the timetable of the dissertation

2. The faculty grants permission to defend the doctoral dissertation and sets the date of the public defence of the dissertation in the Faculty Council meeting

2. The doctoral researcher fills out the Dissertation Preliminary Information Form immediately after receiving the permission to defend their dissertation and informs that they are using an external publisher

4. The doctoral researcher signs a publishing agreement with the publisher following the publisher's instructions

5. The layout and printing processes are handled as agreed in the publishing agreement

6. The doctoral researcher delivers 9 print copies of the dissertation to the faculty

The timetable must be arranged so that the finished dissertation is delivered to the faculty no later than two weeks before the public defence. The doctoral researcher or the publisher is responsible for distribution of copies other than those made for the purpose of the public defence.

7. The doctoral researcher drafts a dissertation press release according to the instructions provided by LUC Communications and Marketing

The draft of the dissertation press release should be submitted to LUC Communications and Marketing no later than two weeks prior to the public defence of the dissertation. The press release will include a photo of the doctoral researcher. If necessary, LUC Communications and Marketing can organise a photo shoot. Please consult the instructions.

8. Public display of the doctoral dissertation 10 days prior to the public defence of the dissertation

A copy of a printed dissertation will be put on display in the university’s main lobby. If permission to self-archive an electronic dissertation has been granted by the publisher, a link to the self-archived copy of the dissertation will be published on the University’s website. It is also possible to publish a link to a open access dissertation made available on the publishers own website.
