General instructions

A single event should not be registered twice. If you e.g. register a conference presentation, you should not register the participation in the conference.

If some external person is taking part in an activity, try to find his / her name in the system before typing it as a new person.

If the activity has happened in an event of in an external organization, try to find them in the system before typing them as a new event or organization. However, regular conferences or other events are registered separately for each year.

External organizations should be registered on the main level, not each sub-unit separately. Unfortunately, the organization list in the system is not yet cleaned up after some information transfers and there are quite many sub-units on the list.

Editorial and other work related to publications

Editing a book or a special issue of a scientific journal are registered as research output and are included in the publication list of a CV and in the publication reports of the university. They shall not be registered as activities.

The curation or production of an exhibition or an event shall be registered as output, not an activity, when the curator or producer has clearly his / her artistic role in it.

Editorial tasks included in the activities are:

  • Membership of an editorial board of a scientific journal (incl. acting as chief or guest editor)
  • Translation work (translating a publication to another language)
  • Reviewer of a scientific journal article
  • Reviewer of a conference article
  • Reviewer of other manuscript
  • Curatorship of an exhibition or producer of a production (only minor own contribution)

Participation or organisation of an event

Conference presentations and opening speeches of a panel shall be registered as presentations. If you have given a presentation or a speech, do not register your participation in the event separately.

Organization of an event means an expert task or position of trust in planning, evaluating, organizing or coordinating the contents of a conference or a similar smaller event. Also participating in a conference or a smaller event can be input here. The types are:

  • Membership of a scientific or program committee of a conference or seminar
  • Membership of an organizing committee or other positions of trust of a conference or seminar
  • Organization of a workshop, panel, session or tutorial
  • Chair of workshop, panel, session or tutorial
  • Participation of a conference, workshop, panel, session or tutorial

  • Organizer
  • Member of program committee

Presentation

Presentations include presentation at a scientific conference or seminar that is included in the program, the invited main presentation at a scientific or artistic conference or a presentation based on scientific expertise and given outside academic organizations. The types are:

  • Keynote or plenary lecture
  • Conference or seminar presentation (in an academic event or organization)
  • Public or invited talk (in other than academic event or organization)

Membership or position of trust

Memberships and positions of trust mean memberships of an academic, societal or private sector organization to which a person has been appointed or elected on the basis of his or her expertise. The membership can be part-time or fixed-term. The types are:

  • Position of trust in an academic community
  • Position of trust in public sector
  • Position of trust in the private sector
  • Position of trust in a funding organization
  • Position of trust in a society or network
  • Regular membership of a society or network
  • Membership of a competition jury
  • Membership of a jury (making decisions regarding grants, subsidies, venues or residence based on artistic merits)

Visiting an external institution

Visiting an external institute means temporary relocation of a researcher or an artist outside their home organization in order to increase and share their expertise, develop their skills and increase their opportunities for collaboration. Types of visits are:

  • Visiting abroad
  • Studies abroad
  • Visiting in another research organization in Finland

Hosting a visitor

Hosting a visitor means enabling an incoming visit and thereby improving the organization's expertise, collaboration networks and opportunities. The host can be an individual or an organizational unit.

Evaluation, assessment or examination

These activities include evaluations, assessments and examinations, that are made on request and by an independent expert or as a member of a team. The types are:

  • Evalluation of activities
  • Statement of assessment of professorship
  • Statement of assessment of docentship
  • Statement of assessment of other positions
  • Evaluation of funding applications
  • Pre-examination of dissertation, acting as the opponent to a doctoral student or as a member of dissertation committee

Consultancy

Consultancy includes on-demand expert services in the public or private sector to support decision-making.

The available roles are:

Other activity or merit (incl. title of docent)

Other activity or merit types are activities that cannot be input in the types listed above. Titles of docent shall be input here. The types are:

  • Academic qualification (e.g. title of docent)
  • Other activity

The available roles are:

  • Docent
  • Member
